Cleaning and facility supplies: a purchasing checklist

Specify the application, concentration, pack size and replenishment needs before comparing cleaning-supply offers.

Start with the intended application

Keep hand-care products, surface cleaners, floor products, refuse bags and paper consumables on separate lines. For a chemical product, specify the intended surface or application and request the supplier’s label and safety information. Product handling and dilution should follow the manufacturer’s instructions; this purchasing guide does not provide chemical-mixing advice.

Compare cost for the same requirement

Record litres or kilograms per container and containers per case. Concentrates and ready-to-use products should not be compared solely by the price per container. For paper, record sheet dimensions, ply and count; for bags, record dimensions, material and thickness. State whether a brand is mandatory or a documented equivalent may be proposed.

Plan storage, delivery and substitutions

Estimate consumption by site and identify storage constraints before choosing a large order. In Jmaa, list delivery locations and purchasing requirements, review the agreed supplier terms and check the delivered goods. A proposed product substitution should be reviewed by an authorised buyer before acceptance. Report shortages or damage against the order with the available evidence.

Before you submit

  • Application and supplier safety information
  • Pack size, concentration and quantity
  • Storage and branch delivery requirements
  • Permitted substitutions and receipt checks

This guide describes purchasing preparation and Jmaa’s workflow. Available products, delivery commitments and commercial terms are confirmed through the applicable quotation and agreement.
